Stock Counts & Staff Charges

Stock counts that find what is missing, and charge it to whoever answers for it

The stock records say what should be on the shelf. A cashier or store keeper counts what is really there, without being shown the figure they are meant to find, and the variance report sets one against the other — every item short or over, and what it is worth. A manager approves it, the stock is corrected, and the shortage is charged to the employee responsible, to come off their salary.

01

A blind count

The person counting sees the list of items and types in what is on the shelf. They are never shown what the records expect — a count copied off the screen proves nothing. Count in kilos or grams, cartons or pieces: it is kept in the item's own unit.

02

A variance report: expected against counted

When the count is handed in, the expected stock is read at that moment and set against every line — the difference, and what it is worth at cost or at the selling price.

03

Charged to the employee who answers for it

Every count names the employee responsible. When a manager approves it, the shortage is charged to them — and overages too, if your staff contracts say so. The manager can forgive part of it, never add to it.

04

Off their salary — only when you say so

The charge waits on the employee's ledger and is offered on the Pay Salary form beside absences and lateness. Nothing is taken unless you tick it, and a charge bigger than one payment is taken over several.

05

The stock corrected by the count

Approving moves each item by its difference rather than overwriting it, so a dish sold while the count was going on stays sold. Ingredients and finished goods from Production are both counted — all of them, or one category at a time.

06

Roles decide who counts and who approves

Give the cashier or store keeper the right to count, and the manager the right to read the report and approve it. Reading a report is not approving it, and a role saved before the module existed gets neither.

FAQ

About Stock Counts & Staff Charges

Can staff see the expected stock while counting?

Not unless you allow it. A blind count is the default: the person counting sees only the items. Settings has a switch to show them the expected stock if you prefer.

Is money taken from salaries automatically?

No. An approved count's charge is offered on the Pay Salary form and taken only when you tick it — oldest charges first, and never more than is left of that payment. A charge can also be waived, with a reason.

Are overages charged too?

Only if you switch that on. By default stock found over the records is shown on the report but not charged.

What is a missing item charged at?

Its average cost, unless you choose otherwise. Finished goods can be charged at their selling price instead; ingredients are always charged at cost, because they are never sold on their own.

Which plans include it?

It comes with Inventory, on every plan that includes Inventory, at no extra price.
